Invitations & Coaching Requests

Track, revoke, approve, and decline every coach onboarding path.

Coach Watts separates direct invitations from public coaching requests. Both can create a coaching relationship, but they begin differently.

Pending invitations

Coaching → Athletes → Pending Invitations lists active coach-generated invitations. Each entry shows its code, optional restricted email, and expiry.

  • A share link can be accepted by any eligible athlete who has the link.
  • An email invitation is restricted to the invited email.
  • Both expire after seven days.
  • Use the revoke action to invalidate an invitation immediately.

Creating New Invite or New Share Link does not extend the existing invitation; it creates a new one with its own code and expiry.

Public coaching requests

When your Coach Start Page intake form is enabled, submitted requests appear above the roster.

Each request can include:

  • the athlete's identity and submission time;
  • their answers to your custom intake questions;
  • a notice listing active coaches they already work with.

Select Approve to create the coaching relationship or Decline to reject the request. Review the athlete's answers and existing-coach notice before approving.

Team invitations

Team invites are managed inside a team rather than on the main athlete invitation list. Owners and admins can create staff or athlete codes, restrict them to an email, choose a role, and optionally auto-assign athletes to a group.

Staff can also generate a reusable athlete team link or QR code from the team roster.

Troubleshooting

  • Expired code — generate a new invitation.
  • Wrong email — revoke the restricted invite and send a new one to the correct address.
  • Athlete already connected — use the existing roster entry instead of creating another relationship.
  • Team code does not work — confirm the invite is still pending, unexpired, and intended for the signed-in email if restricted.
